Information that you give to us
There are many ways for you to directly or indirectly share private information about yourself. For example when you chose to contact us through out contact form on our website, a phone call, email or in person at one of our clinics.
Personal- and contact information
Data such as name, phone number, and email address is gathered to respond to those who are interested in a free consultation but also for treatment. The data is also used to keep a booking registry but can also be used during completing of our journals.
During an online consultation we might ask that you send us a health declaration. During a visit to one of our clinics we keep an obligatory health declaration before you come in for a consultation or treatment. This is kept to be able to follow-up on different diseases that might give clarity to your symptoms but also be able to offer the best treatment based on your conditions.
Information through integration
The information through your integration with Nordic Hair Clinic can come from different resources. We collect data based on how you use our services on the web such as; response time for pages, downloading issues, how you reaches and left the site as well as delivery notifications during contact with you.
We might collect data such as your IP-address, language settings, browser settings, time zone, operating system, platform, and screen resolution. This is to be able to analyze the general mean for these variables to in the future be able to offer better services to the public that works on as many platforms as possible.
Your geographic location is collected automatically in order to be able to show the services that are offered in your near surroundings, but also to be able to offer the language settings that matches your language skills so that you as a customer feel satisfied and comfortable with the information relevant to you in a language that you understand.
Records- and treatment information
During a physical visit we are according to law required to document the treatments that you chose to undergo in a so-called patient records. We therefore have the right to process your personal information in our patient records even if you have not consented to it. A patient record should always include the following information: information about health, amount and types of treatments provided, choice of medication and actions taken.
This is how your information is used
Your personal information is needed to be able to offer safe treatment of highest quality and to be able to follow-up, develop and improve our operations. Nordic Hair Clinic treats your personal information according to the following legal grounds (see the chart on the right).
In any case you do not wish to receive individual offers or information you can always unsubscribe directly by following the link “Unsubscribe” at the bottom of our emails. To unsubscribe for any physical communication you are required to email us at [email protected]. If you chose to decline these types of communications we are no longer able to offer you suitable deals. Know that we never reveal information related to anyone’s health through open communication forms.

We will share information to
Personal information related to patients health or other personal conditions, are classified by law as “sensitive personal information”, where abuse of these results in higher consequences. We will therefore never release your sensitive personal information unless we are obligated to do so by the higher laws and regulations.
We might transfers or share your information with selected third parties according to the following:
- Credit Institutes, credit bureaus, and similar suppliers. In the instance you are applying for financing through Medical Finance your personal information will be shared with the credit institute to assess credit score and confirm your identify.
- Agencies and alike. In cases where through legal grounds Nordic Hair Clinic is obligated to release your personal information.
- Disposal. Nordic Hair Clinic might share your information with a third party in the instance Nordic Hair Clinic sells or purchases business or assets where information is shared to a potential seller or buyer of such business or asset.
We will not share information to
Your personal information is always safe with us. Nordic Hair Clinic will never sell your personal information to third parties that we do not have permission to do.
Your personal information will also not be saved, copied or shared with other suppliers that has not undergone a careful assessment around how the handle matter related to privacy policies, how they handle there data as well as their credibility.
Where is your information stored
All of your information is kept within EU/ESS, as well as in those cases patients are receiving their treatment at our clinic in Istanbul, a copy of those records are saved in our systems in Turkey.
For how long is your information stored
We keep your personal information for as long as it is required for us to complete our commitments towards you and for as long as it required according to the law.
Your rights to access, correction and deletion
The right to access your data
You can request a copy of the personal information that you would like to know we take part in and to verify the information we have related to you. You also have the right to access patient records within reasonable time, after a so called personal data protection trial. The request of such information is completed officially at one of our clinics or via email to [email protected]. Pickup happens in person upon demonstration of an ID card or is sent via recommended mail.
Your right to corrections of your personal information
You always have the right to correct incorrect or incomplete information about yourself.
Your right to be deleted from our databases
You have the right to request a deletion of your personal information in any case it is no longer required for the purpose it was collected. Note that we can however not delete your patient records by law any sooner than three years after the last note was completed.
Objections of treatment because of public interest and power of authority
In those cases, in your personal information is it used to complete an action of public interest that is led by an authority you may have the right to object to your personal information being used. Know that you need to consider what type of information you are objecting to.
If you withdraw consent, meaning taking back your agreement regarding management of personal information, no additional information can be managed. In those cases we will not be able to offer you our services in the future. To withdraw your consent you are welcome to contact us at [email protected].
Cohesive Patient records with Nordic Hair Clinic-Group
Nordic Hair Clinic uses a cohesive patient record, which means that all processors within the group will have access to patient record. It can be of great benefit as a customer sure you for example need to get in immediate contact with one of our clinics but cannot get in touch. You can at that time always contact the second nearest clinic to get the help and information you require.
Block information in your patient records
You can at any time request that your patient records are not accessible electronically for the staff at Nordic Hair Clinics other than your consultant. You will then be advised of what consequences that might have for you as a patient.
You have the right to at any time bring forward a complaint related to our management of your personal information to us or to the Data Inspection. If your personal information has been managed in a way that go against the Patient Data Law or the Data Protection Association you may have the right to indemnity.
Usage of Cookies and Tracking methods
Nordic Hair Clinic – Group Company is jointly responsible for personal information. Communication regardless of the company within the group is done through [email protected].
